Privacy Policy

This policy explains what information ProposalWriter handles, why we use it, and the choices available to you.

Effective date: October 1, 2026

01

Information we collect

We collect information you provide when creating or managing an account, including your name, email address, company details, profile information, and workspace settings.

We also process the proposal briefs, client details, templates, documents, comments, images, and other content you choose to upload or create. Payment details are collected and processed by our payment provider; ProposalWriter does not store complete card numbers.

02

How we use information

We use information to provide, secure, maintain, and improve ProposalWriter. This includes authenticating accounts, generating and editing proposals, exporting documents, enabling public proposal links, processing subscriptions, providing support, and preventing abuse.

Content submitted for AI-assisted generation is used to produce the requested output. We do not sell your personal information.

03

How information is shared

We share information only as needed with service providers that support hosting, authentication, payments, email delivery, storage, analytics, and AI processing. These providers may process information on our behalf under their own security and confidentiality obligations.

We may also disclose information when required by law, to protect rights and safety, or as part of a business transaction such as a merger or acquisition.

04

Public proposal links

When you enable a public proposal link, anyone with that link may view the proposal and download its PDF until you disable the link or it expires. Do not include confidential or sensitive information in a publicly shared proposal unless you have permission to disclose it.

05

Data retention and security

We retain account and content data while your account is active and as reasonably necessary to provide the service, meet legal obligations, resolve disputes, and prevent fraud. Some records, including billing and security records, may be retained after account closure where required.

We use administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security.

06

Your choices and rights

You may update many account and company details from your workspace. You may also ask us to access, correct, export, or delete personal information, subject to applicable law and necessary record-retention requirements.

You can disable public proposal links and manage subscription settings from your account. Browser settings may also allow you to control cookies and similar technologies.

07

International processing

Our service providers may process information in countries other than your own. Where required, we use appropriate safeguards for these transfers.

08

Children and policy changes

ProposalWriter is intended for business users and is not directed to children under 13. We may update this policy as the service or legal requirements change. The effective date above shows when the latest version became effective.

Questions or privacy requests may be submitted through the support channel available in your ProposalWriter account.
